Privacy Policy
This policy explains what iCare.com, Inc. collects when you use icare.com, why we collect it, and what you can ask us to do with it. It covers this website and our sales, support, and recruiting activity.
What this policy does not cover
It does not cover protected health information. When a healthcare provider licenses the iCare Enterprise Cloud EHR, patient data entered into that system belongs to the provider. We process it as a business associate, and that processing is governed by the HIPAA Privacy and Security provisions of the iCare Online Client Agreement and the business associate terms within it — not by this policy.
If you are a patient and want to know how your records are used, contact your healthcare provider. They are the covered entity and hold your Notice of Privacy Practices.
Information you give us
- Demo and sales inquiries. Name, organization, email address, phone number, and whatever you write in the message field.
- Account and orders. If you purchase an edition or subscribe, we collect billing name, billing address, email address, and order history. Card details are entered directly into our payment processor and are not stored on our servers.
- Support requests. The contents of tickets and correspondence, including any attachments you send.
- Job applications. The information in your application and any documents you attach.
Information collected automatically
- Server logs. IP address, browser and device type, referring page, pages requested, and timestamps. Used to run and secure the site.
- Cookies. Strictly necessary cookies keep you signed in and hold your cart. Analytics cookies tell us which pages are used and where people leave.
- Analytics. We use Google Analytics and Google Search Console, via Site Kit, to understand traffic in aggregate.
- Payments. Checkout is handled by Stripe, which collects the payment details it needs to process the transaction under its own privacy policy.
How we use it
- To answer your inquiry, run a demo, and follow up about it.
- To provide, bill for, and support the products you license.
- To operate, secure, and improve this website.
- To meet legal, tax, accounting, and certification obligations.
- To send service messages about your account. We do not sell your information.
Who we share it with
We share personal information with service providers who need it to do work for us — hosting, payment processing, email delivery, analytics, and CRM — under contracts that limit them to that purpose. We also disclose information where we are legally required to, or to establish or defend legal claims. We do not sell personal information, and we do not share it for cross-context behavioral advertising.
How long we keep it
Inquiries and correspondence are kept while the relationship is active and for as long as we may need them for legal or accounting purposes. Order and billing records are kept for the period required by tax and corporate law. Server logs are kept on a short rolling window. You can ask us to delete information sooner and we will do so unless we are required to keep it.
Security
Traffic to this site is encrypted in transit. Access to systems holding personal information is restricted to staff who need it, and administrative access requires multi-factor authentication. No system is perfectly secure, and we will tell you and the relevant authorities if a breach affects your information and the law requires notice.
Your choices and rights
- Ask what personal information we hold about you and get a copy of it.
- Ask us to correct anything inaccurate.
- Ask us to delete it, subject to records we are required to retain.
- Opt out of marketing email at any time, using the unsubscribe link or by writing to us. Service messages about an active account will continue.
- Refuse or clear cookies in your browser. Strictly necessary cookies are required for sign-in and checkout to work.
To exercise any of these, write to legal@icare.com. We will verify your identity before acting on a request and will respond within the period the applicable law allows.
Children
This website is intended for healthcare organizations and the people who work in them. We do not knowingly collect personal information from children through it. If you believe a child has provided information here, write to us and we will delete it.
Where your information is held
iCare.com, Inc. is a Delaware corporation operating from Florida, and the information described in this policy is processed in the United States. If you contact us from outside the United States, you are sending your information to the United States.
Changes to this policy
If we change this policy we will update the date at the top of the page. Material changes affecting how we use information already collected will be notified to account holders by email.

Contractual terms for the iCare Enterprise Cloud EHR, including the HIPAA Privacy and Security requirements and business associate obligations, are set out in the iCare Online Client Agreement. Where that agreement and this policy differ in respect of protected health information, the agreement governs.
